What we do with your details
Short version: we use them to answer you, we keep them for two years, we do not sell them, and you can ask us to delete them at any time.
Who is responsible
Karoo Systems, based in South Africa. For anything on this page, email info@karoosystems.co.za.
What we collect
Only what you type into the contact form:
- Your name
- Your business name, if you give one
- Your email address
- What kind of work you are asking about
- The message you write
The server also records the IP address the message came from and the date and time it arrived. That is a standard anti-abuse measure and nothing else is done with it.
Why we collect it
To answer your enquiry, and to quote on work if you ask us to. That is the only reason. You will not be added to a mailing list, and your details will never be sold, rented or shared with a third party for marketing.
Where it goes
A message sent through the form is emailed to our inbox and written to a log file on the same server that hosts this site, in South Africa. It is not passed to any form service, marketing platform or analytics provider. A message sent through the chat window goes to Crisp as well — see below.
This site loads its typefaces from Google Fonts, which means your browser makes a request to Google's servers and Google sees your IP address in the process. Nothing else on the site talks to an outside service. There are no tracking cookies, no advertising pixels and no analytics.
The chat window at the bottom of the contact section is run by Crisp, a company based in France. If you open it, what you type — and the email address you give so we can reply — is stored on Crisp's servers as well as reaching us. Their privacy terms are at crisp.chat/en/privacy. The chat script is not loaded until you scroll or click the chat button, so if you never touch it, nothing about your visit reaches Crisp at all. You are never obliged to use it — the email address and the form go only to us.
How long we keep it
Two years from the date you contact us, then it is deleted. If we end up working together, project records are kept for as long as South African tax and company law requires — currently five years after the last transaction.
Your rights under POPIA
The Protection of Personal Information Act gives you the right to:
- Ask what personal information we hold about you
- Ask us to correct anything that is wrong
- Ask us to delete it
- Object to how we are using it
- Complain to the Information Regulator of South Africa
Email info@karoosystems.co.za for any of the first four and you will get a response within a week, at no charge.
Security
The site is served over an encrypted connection, so what you type in the form cannot be read in transit. Enquiry logs are stored outside the public part of the server. The less we hold, the less there is to lose, which is why the form asks for so little in the first place.
Changes to this page
If what we do with your details changes, this page changes and the date at the top is updated. There is no version history to dig through.
